Engaging, well-run school tours

Give prospective families the organised first impression they expect. Parents book their tour time online, guides know who is arriving and when, and every visit is a chance to showcase your school at its best. Parent Events has run the bookings for hundreds of schools since 2013.

Plan your tour program

Define your tour types, dates, group sizes, and which staff are guiding. Different routes for kindergarten families, middle school transfers, or international enquiries can run side by side in the same account.

Families book and introduce themselves

Parents book online and answer the questions you care about, from year level to specific interests. You know who is coming, what they want to see, and how to personalise the visit.

Run a memorable tour

Guides have their timetables and station assignments, you know the numbers in advance, and no family turns up unexpected.

Flexible tour options for any audience

Group tours for an open house, private tours for VIP visitors, small-group tours for transfers partway through the year. Every tour type can have its own dates, own guides, own registration questions, and its own cap on group size, all running side by side in the same account.

Prospective kindergarten families, middle school transfers, and international enquiries rarely have the same questions. Running them as separate tour events lets you shape the experience around what each family actually cares about.

Guides, stations, and a clear route

Assign each tour to its guides, define the stations they are covering, and give the whole team a timetable that shows who is doing what and where. The deputy principal running the hall demo knows when to expect the group, and the guide leading the tour knows where to head next.

If the route changes on the day, a broadcast message reaches every signed-up family in seconds and every guide on the roster alongside them.

Learn about families before they arrive

Custom registration forms let you ask the questions that matter to your conversation, such as year level, specific interests, special needs, or programmes they are weighing up. Guides arrive with that context in hand and can lead the tour to the parts of school the family is actually considering.

After the tour, the same family details make it easy to follow up with the right invitation to your next enrollment event without having to rekey anything.

Built to support your school

Tour Stations

Build the route as a list of stations, each with a duration, a location, and travel time to the next stop. Reorder them by drag and drop as the plan changes.

Tour Guides

Assign a guide to every tour time, whether a staff member, a parent ambassador, or a senior student. Each guide gets a timed schedule of stations for their tour.

Group Sizes

Decide how many families join each tour, and slots close automatically once full. Intimate single-family tours and larger groups can both sit on the same day.

Customizable Forms

Ask about year level, starting year, and what the family wants to see before they arrive. Answers sit beside the booking, so guides know who is coming and why.

Email Reminders

Confirmation and reminder emails go out when a family books, the day before, and on the morning of the tour. Families arrive at the right entrance at the right time.

Live Tour Board

A live board shows each tour time with its guides, group size, and the families attending, marked as running, upcoming, or finished. You see the whole day from one screen.

Route Sheets

Print the tour route with the running order and timing for every stop, plus a per-guide schedule listing the families on each tour. Everyone knows where to be and when.

Station Signs and Name Tags

Print a sign for every station, name tags for guides, and name tags for visiting families. The signage for open day comes out of the same event you took bookings in.

Registration-Only Mode

Skip the time slots when you only want to know who is interested. Collect family details for a drop-in open day and follow up once your tour dates are confirmed.
